We do not have a clinical category and I don’t think we would use the assistantship process for what you are describing. We definitely do not allow administrative assistantships with Graduate School funds, but a College could pay for a student receptionist if they wanted, but we would not want to see that as an assistantship. We would want to see that type of position go through Human Resources as an hourly, temp student worker. We are refining our definitions to include the idea that the assistantship has to be related to their program of study. If it is not, then it should be an hourly temp student worker transaction, not an assistantship. At least that’s the direction I think we are going.
I’m not sure I understand how you are using quartiles. However, we have non-course degree requirements programmed into Degree Works. For example, if a student does a capstone project defense, but it’s not connected to a course. The Graduate Program Director or Director of the Capstone then does a petition which tells the Registrar’s office to “check off” the capstone defense requirement. So, a non-course related degree requirement necessitates a petition to tell the Registrar to check it off. You probably could use non-course degree requirements for your status of research and status of dissertation milestones you want to document. Whomever is programming Degree Works may know other options, but this is working for us. Another one is Advancement to Candidacy. When a doctoral student passes their candidacy exam, the program submits a form to the Grad School and we are the ones that go into Degree Works and check off the candidacy requirement.

Also, when your students complete your hiring paperwork, what address are you requesting? Do you request their permanent address? Their local address? What if they are online – do you require your graduate assistants to declare an address during the contract process? Are you tracking at the Graduate School level whether there are address changes, particularly out of state?
We do not have a policy in writing now that I think about it, but in the past, previous Deans of our Graduate School have met with the program and project mentor to let them know that we cannot publish the thesis and we need to move the student to a non-thesis option for the degree. This has not happened in the time that I’ve been interim Dean, so I can’t speak about anything I have done personally. But I do think I will start our team working on developing a policy!

At ECU, Application fees create a portion of our budget. If we waive fees, the Graduate School operational budget decreases. We do not have access to any portion of student fees.
At ECU, we have 2 health sciences programs with high demand (OT & SLP) that have chosen to do an enrollment deposit, but not for any other programs. I don’t know that our leadership would be in favor of it as it presents another ‘barrier’ to enrollment.

Their graduate faculty status is active for 5 years. As long as that timeframe has not expired, we will approve them to serve on the committee. Once it’s expired, they would have to be readmitted to graduate faculty status, per the unit’s requirements. If it expires, they would be treated as an external member and would not count as one of the 3 graduate faculty from ECU that we require.
Thanks! Do you have a policy for a grade forgiveness for a course grade? We get asked all the time if someone who earns a C or F could repeat the course and replace the grade. I’m interested in hearing about those policies.

We do not use probation for time to degree. We have a request for a time extension process and if approved, they continue in good standing. If not approved, they have to re-take courses.
